A Brief Overview
Part Time 20hrs a week!
In this role, you will coordinate and schedule surgical cases within a designated department or service line, which may include GI Endoscopy, Pain Management, miscellaneous procedures, and procedures requiring anesthesia. You will support the administration and ongoing improvement of the surgical scheduling system to ensure accurate, efficient, and patient-centered operations.
What You Will Do
- You will coordinate and schedule surgical procedures, ensuring accuracy and alignment with department needs.
- You will manage the computerized patient scheduling system, including entering cases, maintaining system integrity, and supporting enhancements.
- You will monitor data integrity and ensure compliance with established system policies and procedures.
- You will collaborate with System Support and Information Services to troubleshoot issues and implement system updates.
- You will prepare and distribute daily operating room schedules to appropriate teams.
- You will verify patient and case information with surgeon offices to ensure accuracy of reservations and case order.
- You will track and monitor data as assigned to support reporting and operational efficiency.
- You will process charge slips according to established standards and protocols.
- You will print and distribute schedules, pharmacy requisitions, and reservations to appropriate locations.
- You will maintain inventory and order supplies as needed.
- You will respond to inquiries from surgeons, nursing staff, office staff, patients, family members, and vendors in a professional and timely manner.
- You will collaborate with clinical teams, including the charge nurse, anesthesia coordinator, Pre-Op, PACU, and waiting area staff, to support patient flow.
- You will enter purchase requisitions into Oracle as needed.
Additional Responsibilities
- You may perform other duties as assigned to support departmental and organizational needs.
- You will comply with all University Hospitals policies, procedures, and standards.
- You will complete role-specific training and responsibilities outlined during department orientation.
- You will maintain the confidentiality and security of patient information in accordance with Protected Health Information (PHI) requirements, including adherence to the UH Code of Conduct and all privacy policies.

- High School Equivalent / GED (Required) and
- Computer Training with Database Management (Required)
Work Experience
- 1+ years clerical experience in medical office/hospital setting (Required) and
- Recent Scheduling experience (Preferred)
Knowledge, Skills, & Abilities
- Database Management (Required proficiency)
- Effective public relations and customer service skills (Required proficiency)
- Organizational & problem resolution skills (Required proficiency)
- Knowledge of Medical Terminology (Required proficiency)
- Typing 30 WPM; computer skills & operation of office equipment including but not limited to fax machines and copiers. (Required proficiency)
